OUR BOOKING PROCESS

  • Make an Enquiry

    Our calendar fills up so the first step is to get in touch with us (phone, email, website, FB, wechat, in person) to discuss your event and what dates you’re considering.

    We will follow up with venue details, reference photos and floor plans, pricing specifics, event services and calendar availability once we understand your event and goals.

  • Schedule your Site Visit

    Often, the next step is to come in person for a venue site visit; there’s nothing like stepping onSTAGE yourself to visualise your event and hone in on the right location and setup.

    We are happy to host you for a site visit (typically 30 minutes – 2 hours, depending on complexity) and standard hours are between 10am – 7pm on ‘Open Days’, though we will open up the venue at odd hours and nighttime to fit your schedule! Often clients will come for multiple site visits bringing different creative and production teams.

  • Chat with Events Team

    You will likely have questions, and we are here for you to answer them! Or at least attempt. The art and events business is fast-paced, and plans are constantly changing, so we know it is important to be available and flexible.

    Ping us anytime to update on your booking timeline, chat about additional event services, check on technical specifications, and ask to revise your dates as necessary.

  • Decide on Dates

    Once you know you want to hold your event / event series with LIGHTSTAGE and you’re reasonably certain on your dates, we suggest that you let us know right away. We will then prepare the paperwork and issue an invoice.

    Remember – our booking calendar is first-paid, first-confirmed based on the signed Event Services Agreement and payment of the security deposit.

    We do try to be flexible; if you later need to change your dates and give us at least 2 weeks’ notice, we will accommodate your switch at no additional charge provided venue availability!

  • Pay Deposit – Booking is Confirmed!

    You have signed the agreement and paid your deposit to hold your event dates — your booking is confirmed! We shall send a welcome note and the fun can begin — all the event details, event-day logistics, booking furniture and equipment, and use of our Event Concierge.

  • Event Concierge, at your service

    We help clients with everything from ordering signage and decorations to arranging caterers, beverages, marketing promotion reception staffing, designer furniture rental, retail popup logistics, art hanging, cleaning, special performances, DJs and more.

    We can begin assisting you with arrangements and making introductions once your booking is confirmed!

  • Your Event Day!

    A member of our team greets you to ‘hand-over’ the venue and requested/rented equipment and furniture, set up any technical components, and we shall be on-call through your event.
